We are looking for a Project Coordinator who wants to apply their advanced software knowledge and organizational skills to challenging projects within our organization. The Project Coordinator will be responsible for managing the core corporate information management systems and for all internal invoicing functions. Reporting to the Director, Technical Services the role requires strong attention to detail and project management skills.

Using BillQuick a professional time management, project accounting and business management software application, the Project Coordinator is responsible for:

  • Performing project setups with a high level of accuracy and within the pre-determined time guidelines
  • Preparing invoices with accuracy and in a timely manner
  • Setting up new clients with a high level of accuracy
  • Preparing and running reports as requested
  • Maintaining system records
  • Providing trouble-shooting support companywide
  • Sending estimate acceptances
  • Preparing work initiations with speed and accuracy
  • Managing all change orders for projects

As the software administrator the Project Coordinator will be responsible for:

  • Acting as the BillQuick system administrator
  • Acting as the DocuSign system administrator
  • Investigating and resolving information and communication technology issues
  • Creating and maintaining Excel and Access tools
  • Having a broad range of IT knowledge and be willing to learn new software applications


Experience in the following is required:

  • Post-secondary degree, preferably in a scientific field
  • Technical writing experience
  • Project management skills
  • Advanced MS Office skills (Word, Excel, PowerPoint, Visio, Access, Outlook)
  • Experience in BillQuick Online and DocuSign an asset
